Job Description:

The role is to ensure the smooth logistical operation of the Middle East offices, with particular emphasis on management and co-ordination of core services including local responsibility for HR matters.

Responsibilities will include:

  • Responsible for line management of core support function teams including Operations, Finance, IT, Reception and Hub teams including absence, attendance and ongoing performance management;

  • Responsible for the management of contracted services and vendor relationships including competitive tender negotiations, review and performance monitoring against agreed service levels;

  • Responsible for maintaining the physical office environment including furniture, fixtures and fittings, as well as security, including contractor management and monitoring standards of service to comply with the firm's standards;

  • Liaising with landlords and lease management, providing support in lease negotiations  for extensions/renewals, in conjunction with London Operations team to and ensure local requirements and the firm's strategy are met;

  • Provision and maintenance of office supplies and equipment including stationery, photocopiers, beverage areas, business cards, etc.;

  • Accountability for expenditure and allocation against budget including signatory responsibility for invoices and payroll;

  • Formulation of annual expenditure budget in conjunction with the Finance team;

  • Responsible for compliance with Middle East Health and Safety regulations involving policy, documentation and process, fire training and evaluation.  Complying to CONFIDENTIAL FIRM's global Health and Safety standards;

  • Responsible for Environmental programme in accordance with CONFIDENTIAL FIRM's global standards and collating information relating to the global carbon footprint. Compliance with local environmental regulations, developing an appropriate waste management system and promoting energy management;

  • Acting as a 'key contact' for Middle East within the business continuity plan, and administrating processes and procedures relating to it, with specific emphasis on the telephone cascade, personnel communication and physical office requirements;

  • Liaising with central Operations teams on matters relating to general insurance cover and annually identifying local insurance requirements. Liaising with central Finance with regards to professional indemnity and arranging local cover where necessary for medical, life insurance, or any local regulatory requirements;

  • Identifying efficiencies and cost savings with regard to process and procedure;

  • Supporting the implementation of internal policies and leading local processes and compliance where appropriate.

  • Participating in the global Operations Managers forum for support, guidance and sharing best practice.

HR:

  • Act as first point of contact for HR issues.

  • Supporting Central HR by acting as a focal point for Middle East HR matters and being the first point of contact for HR issues.

  • Support for firmwide HR annual processes such as promotions, performance appraisals and salary review.

  • In conjunction with the central recruitment team, undertaking recruitment of support staff including liaison with recruitment agencies, CV selection and review and interview support for other line managers;

  • In conjunction with Central HR, facilitate and undertake new joiner process including data management and circulation, IT set up, induction and familiarisation;

  • Preparing agreements for new starters and ensuring compliance with local regulations;

  • Liaise with local law society, provide updates and manage administrative matters to ensure partnership compliance;

  • Staff welfare in conjunction with the firm's standards.

Education/Experience Required:

To be considered for this position, candidates should meet the following criteria:

Previous experience in Operations management, preferably in the legal sector

Strong organisational skills and attention to detail with the ability to develop and document operating policies and processes;

Team player with proven leadership experience;

Proven line management experience;

Excellent written and verbal communication skills.
